A brand’s carbon-data request can reach its China production partner after filming is already over. The folder arrives with transport invoices, accommodation records and call sheets. The next question is not how many documents were supplied. It is whether they describe the right activities, without gaps or repeated entries.
Before commissioning an additional report, agree the method, the production scope and who will assemble the result. Buying document preparation is different from buying calculation or independent review. AI-assisted entry does not remove those distinctions.
A new intake tool makes the remaining work more visible
AdGreen’s AI Footprint Builder webinar summary describes a September 30, 2026 demonstration using fictional production paperwork to generate suggested activities for user review. The page has no confirmed full publication date. When checked October 17, it still described beta access; we did not watch the recording, use the software or assume universal availability.
Its current Carbon Calculator Methodology says deduplication works within a single upload session, not across separate uses. It also distinguishes early estimates from wrap-stage records of actual activity. These are that tool’s arrangements, not universal rules for every carbon calculation.
The procurement implication is straightforward: someone still has to establish what happened, resolve conflicting paperwork and approve the entry. Faster extraction does not assign those responsibilities.
Reconcile an activity before counting its documents
ONCE proposes Activity Reconciliation as a production-data handoff method. It is not an emissions-accounting standard or a tested accuracy claim. Start with an event that occurred, then connect the documents that support it.
Imagine a fictional shoot where a shuttle carries one crew group from a hotel to a studio. The call sheet describes the arrangement. A transport invoice records the vehicle. An expense attachment contains the invoice again. Three documents do not establish three journeys. Conversely, an invoice marked only “production transport” does not establish a route or vehicle type that nobody recorded.
Agree how the selected method defines and groups activities before building the handoff. A producer should report confirmed information and uncertainty, not silently substitute personal assumptions for the calculator’s requirements.
| Record for each activity | Question the recipient should be able to answer |
|---|---|
| Identity and scope | What happened, where and when, and which production stage does it concern? Was it shared? |
| Support and information status | Which details are documented, estimated or missing? Unknown is not zero. |
| Agreed submitting party | Who supplies this activity to the project’s combined record, and who provides supporting information? |
| Changes and confirmation | What changed, who approved the correction, and which unresolved items remain disclosed? |
The submitting party is a collaboration choice within this handoff, not a ruling on corporate emissions ownership. Several organizations may need their own reports. Do not instruct them to delete legitimate records merely because another supplier also reports an activity. Instead, make the aggregation within this particular project explicit.
Agree the handoff at bid, production and wrap
At bid, obtain the actual requirement. Ask which method or tool the client accepts, what the requested scope includes and whether the task is an estimate for choosing a production route or a wrap-stage record. Identify the calculation owner: an internal team, adviser or production supplier. If that is undecided, quote preparation work without promising an uncalculated result.
During production, retain changes to the plan. A rescheduled hotel stay, replacement vehicle or additional equipment can make the original budget a poor account of actual work. Connect changes to supporting records. Shared facilities and cross-project transport need an agreed allocation approach, not an improvised division that disappears from the final handoff.
At wrap, deliver the activity register and its unresolved items. Include locations of supporting records, confirmed details and the basis of any estimates. Keep AI suggestions distinguishable from reviewed entries. If a supplier has not responded, disclose the gap rather than presenting it as an activity with no emissions.
When late paperwork arrives, match it against existing activities before creating new ones. A corrected document may update a field rather than establish another event. Re-importing the whole folder for convenience is a poor substitute for that decision.
Also agree permission to share personnel, travel and supplier information. Automated redaction does not itself authorize a project’s uploads. Supply only what the task needs; information that cannot be shared may require entry by an authorized person through an agreed alternative. No real production documents were uploaded for this article.
Buy accountable preparation, not an environmental label
Hartswood Impact currently lists planning, data gathering, AdGreen and BAFTA albert tracking, reporting and ongoing support among its production services. The undated page was checked October 17, 2026. It demonstrates one visible service structure, not verified customer savings or evidence of universal adoption.
A buyer can separate document preparation, supplier follow-up, activity reconciliation, calculation and a defined correction period. Not every brief requires all five. If the brand already has a calculation team, the production partner may need to supply only organized activity information. Add coordination where the project’s complexity and the client’s actual requirement justify it.
Estimate effort from participating organizations, activity complexity, document quality and follow-up work. Film duration and attachment count are weak substitutes. A short ad may involve several locations; multiple edits from one shared shoot do not automatically create multiple sets of production activity. Ask what coordination and corrections are included and which changes reopen the quotation, without relying on invented market averages.
Nor should receipt of a production record become permission to advertise the product as “zero carbon” or environmentally superior. Production activity and product environmental performance concern different objects. Any external claim needs its own assessment; this article addresses the data handoff, not claim clearance or certification.
For ONCE, a sensible capability to explore is repeatable preparation: stable fields, named responsibilities and recorded corrections that keep international projects from restarting with an unstructured folder. This is a proposed service direction, not a claim that ONCE already operates a verified carbon database or has measured client benefits.
Before the next shoot, turn the client’s request into a handoff specification: method, scope, submitting parties and treatment of missing information. A useful result begins with agreement on who will deliver which records, and in what state—not with a promise to produce a reassuring number.
