Track AI disclosure at the level of the asset that will actually be delivered. A campaign can contain a photographed product, a generated background, a retouched still and several video derivatives. One campaign-level checkbox cannot tell the receiving team what happened to each file or what it must review.

Record the source and the changes

Give each approved master a stable filename or asset identifier. Record the supplied product reference, contributors, generation or editing steps and the parts of the image that were changed. Keep source files available where the delivery scope permits; an exported image may not preserve the information the next editor needs.

C2PA's Content Credentials concern provenance: information about content creation and modification. They do not replace checking whether a depicted product or statement is accurate. Review visible product details against approved references as a separate step.

Review the actual destination and market

For each planned placement, record the platform, market, format and current disclosure requirements consulted. Assign the person who will make the disclosure decision. Do not assume that an AI label available in one interface automatically covers a different destination or an exported derivative.

Where the requirements are unclear, obtain a decision from the campaign's responsible reviewer before release. Keep that decision with the exact asset version. This guide provides a handover method and does not determine legal obligations for every market.

Carry the decision into derivatives

When an editor crops, composites or re-exports the master, give the new file its own identifier and connect it to the parent. Record whether the change affects the disclosure or product review. Check the file and placement preview rather than assuming metadata or a visible notice survived the export.

  • Asset identifier and parent version.
  • Source material and relevant creation or editing steps.
  • Intended placement and market.
  • Disclosure decision, reviewer and review date.
  • Approved export and any visible notice required for that use.

Keep delivery usable

Give the media team the accepted files and a short record they can act on. Resolve missing rights or product references before assigning a final label. Update the record when a new destination or material edit is introduced; the original campaign decision may no longer describe the new asset.
